# AI-generated call notes: checking commitments before acting

An AI-generated call note can read smoothly while changing the commercial meaning of a conversation. “I will try to arrange the transfer on Friday” becomes “Payment confirmed for Friday”. That shortened sentence can pause follow-ups, increase a cash forecast and persuade a salesperson that an extension has been agreed.

The useful review therefore concerns information that triggers action. Someone needs to establish who spoke, what they actually offered, which conditions remain unresolved and who may accept a change on the supplier's behalf. A generated summary can prepare that review. By itself, it does not establish that the parties agreed to a new payment timetable.

For a finance team operating in France or elsewhere in Europe, the aim is a reliable case record: understandable enough to use, precise enough to check and limited to information needed for the task.

## Look at the three transformations separately

Transcription turns speech into text. A number can be misheard, a negative can disappear or a statement can be assigned to the wrong speaker. Summarisation then selects what to retain. Removing “subject to approval” changes the meaning even when the original words were transcribed correctly. Finally, extraction converts the summary into operational fields, such as a promised amount and payment date.

Research presented at FAccT 2024 identified hallucinations in 187 of 13,140 audio segments, approximately 1.4%. The study used English-language AphasiaBank recordings collected in the United States from speakers with aphasia and controls, testing Whisper in April and May 2023. This documents a risk within that protocol. It is not an error rate for current French business calls or for Billabex. [Study methods and findings, pages 1–3](https://facctconference.org/static/papers24/facct24-111.pdf).

The operational implication is not to forecast the same percentage of errors. It is to avoid treating readable prose as evidence that a commitment was faithfully captured. A single invented amount can influence a significant decision even when most notes appear satisfactory.

## Keep a conditional proposal conditional

Consider an entirely simulated case with €5,000 outstanding. The customer says: “I can try to send €3,000 on Friday if you send me the statement. I still need to check the remaining €2,000.” The account manager replies: “I will ask my manager whether we can wait until then.”

An incorrect summary reads: “Agreement: €5,000 payable Friday; extension accepted.” Four changes have occurred. An intention became a certainty; a partial amount became the entire balance; the document condition disappeared; and a request for authority became an approval. This is more than a transcription typo.

A useful note keeps €3,000 as a proposed conditional payment, identifies the statement that must be sent and resolves Friday to an actual calendar date. The remaining €2,000 has no confirmed commitment. The supplier's acceptance of an extension is still pending. The €5,000 balance remains under management without being described as a confirmed Friday receipt.

The invented addition to the customer's proposal is €2,000, or 40% of the balance. However, even the €3,000 is not yet a firm promise in this example. Apply the criteria for a [trackable payment promise](https://www.billabex.com/en/blog/verifiable-payment-promises/) while preserving the qualifications that the speaker actually expressed.

## Review the passages that can change an action

The reviewer should be able to return to an available source: contemporaneous notes, a confirmation message or audio that was lawfully collected and retained. This does not require recording every call. Where no sufficiently precise source exists, asking a focused clarification is better than confidently reconstructing a conversation.

For a relative date such as Friday, check the date of the call, the relevant time zone and whether the speaker meant initiating a transfer or its expected arrival. For an amount, verify currency, covered invoices and receipts already recorded. For attribution, establish whether the words came from the customer, the salesperson or someone merely quoted during the conversation.

Negatives and conditions deserve deliberate attention. “We cannot confirm until Friday” is not “We will pay Friday”. “Management should approve” is not a decision communicated by management. A high technical confidence score does not resolve those business questions.

The review can concentrate on sensitive commitments if the remaining information remains checkable. A note containing no promise must be allowed to retain that absence. Requiring every extracted field to contain a value creates pressure to supply dates and amounts unsupported by the conversation.

## Distinguish understanding a proposal from accepting it

Under French law, article 1193 of the Civil Code establishes mutual consent as the principle for changing a contract, subject to legally authorised grounds. It does not turn a software summary into an agreed amendment. Nor does that article alone require every agreement to be written. The contract and the authority of the people involved also matter. [French Civil Code, article 1193](https://www.legifrance.gouv.fr/codes/article_lc/LEGIARTI000032041314).

A team may confirm that it has understood a proposal without accepting it. A follow-up could say: “We understand you are proposing €3,000, conditional on receiving the requested statement. We will come back to you regarding approval.” Adapt the message to the facts, avoiding any commitment the customer has not made.

Internal approval needs to remain identifiable. The method for deciding [who may approve a payment extension](https://www.billabex.com/en/blog/payment-extension-approval-collections-tool/) separates a proposal, an approval and the next action. Adding a manager's name to a generated summary does not establish that the manager actually intervened.

For contracts governed by another European country's law, confirm the applicable requirements rather than presenting the French rule as a universal contract standard.

## Correct every operational consequence

An error may spread before the note is reviewed. In our example, €5,000 might already appear in Friday's cash forecast and follow-ups may have been paused. Editing the paragraph to say “conditional proposal of €3,000” leaves the case operationally wrong if those consequences remain unchanged.

The correction therefore needs to identify affected tasks, the next contact date, promise fields and the forecast used by finance. Keep an understandable record of what changed and why. If an inaccurate message reached the customer, an authorised person should decide what clarification to send after checking the context.

The information collected must also be appropriate. GDPR articles 5 and 6 address accuracy, minimisation and a lawful basis, while article 13 addresses information at collection. Establish the applicable arrangements before collecting audio. [GDPR chapter II](https://www.cnil.fr/fr/reglement-europeen-protection-donnees/chapitre2), [chapter III](https://www.cnil.fr/fr/reglement-europeen-protection-donnees/chapitre3).

A financial case does not need personal explanations that have no bearing on the next action. A necessary supporting document and an intimate comment serve different purposes. The approach to [limiting data supplied to an AI collections agent](https://www.billabex.com/en/blog/ai-collections-agent-data-minimisation/) helps select context that is actually relevant.

Before expanding use, test conversations with a partial amount, a negative, a quoted third party and an approval still outstanding. Ask the team to locate the source for every proposed action. To explore follow-ups informed by exchanges and exceptions, review [the Billabex agent](https://www.billabex.com/en/product/agent/) and use a demonstration to examine your own cases. This evaluation does not assume any native call-recording or transcription feature.
