Understand invoices and their statuses
Separate an invoice time status from its payment state calculated from covered amounts.
Updated
In short
Billabex shows two complementary readings. Invoice status is **Issued**, **Overdue**, or **Paid** from due date and settlement. Payment status is **Unpaid**, **Partially paid**, **Paid**, or **Overpaid** from paid amount and allocated credits. A future invoice can therefore remain Issued while already being partly paid.
Expected result
You can explain both statuses using due date, paid amount, and allocated credits.
Before you start
- Open invoice detail rather than relying on the list alone.
- Locate total, due date, paid amount, and allocated credit.
Procedure
- Compare the invoice due date with today.
- Calculate total coverage from paid amount and allocated credits.
- Read invoice status: Paid when covered, Overdue when due with a remainder, otherwise Issued.
- Read payment status separately according to the share of total covered.
- Check remaining balance before deciding a follow-up is expected.
What Billabex does
Statuses are derived rather than manually entered. Coverage equal to total produces Paid; greater coverage produces Overpaid for payment status while invoice status remains Paid.
If the result is not what you expected
- An unallocated credit note does not necessarily reduce this specific invoice.
- After a source change, allow payment and allocation projections to update.
- A payment schedule can move the effective due date used for currently due balance.
