Create or correct a manual account while respecting the source when data comes from an integration.

In short

A customer account can be synchronized from Pennylane or Zoho Books, created manually, or managed through API. Check its source before changing identity. For synchronized data, prefer correcting the originating tool so the next import stays coherent. Tags, contacts, and operational states can then be managed in Billabex through their dedicated actions.

The account has one clear identity, a understood source, and useful contacts or tags.

Before you start

  • Search name variants before creating another account.
  • Determine whether data comes from a connection or manual entry.

Procedure

  1. Search the account by name, source reference, or contact email.
  2. Open its source to distinguish Pennylane, Zoho Books, and custom creation.
  3. For a manual account, edit required information and save.
  4. For a synchronized account, correct the source and wait for import rather than maintaining two versions.
  5. Then add contacts and tags, and verify documents remain linked to the right account.

What Billabex does

Billabex keeps one unique source reference on a synchronized account. One account cannot link to two different sources at once; duplicate merging is a controlled operation that reassigns documents and history.

If the result is not what you expected

  • Do not delete an account merely because it looks empty during synchronization.
  • Two accounts with distinct documents require verification before merging.
  • If a name reverts after editing, the source probably needs correction.
