# Share an account’s customer portal

In short

Every customer account can have a portal link, managed in the Debtor portal panel of its overview. Your customer opens it with no account or password to view and download the invoices and credit notes being followed up, plus your bank details unless they pay by direct debit. The link stays valid until you regenerate it.

## Expected result

Your customer has a link that always shows the current documents of their follow-up, and you know how to take that access away.

## Before you start

- Check that the invoices have their PDF in Billabex: an invoice without a PDF is still listed, but cannot be downloaded.
- Confirm the account’s payment method: bank details are not offered to a customer paying by direct debit.
- Choose the contacts who should receive the link. Anyone holding it sees this account’s documents.

## Procedure

1. Open the customer account record, **Overview** tab.
2. In the **Debtor portal** panel, click **Create the link**. If the link already exists, it is shown directly.
3. Click **Open the page** to check what your customer will see.
4. Click **Copy the link**, then paste it into your message to the customer.
5. To cut off a former contact, click **Regenerate the link**, type “regenerate” to confirm, then share the new link with the right contacts.

## What Billabex does

The page shows your organization, your agent and their email address, then the documents within the scope of your reminders: overdue invoices while an overdue amount is still owed, otherwise upcoming invoices, and credit notes that are still available. The list is recalculated on every visit, with nothing new for you to send. Your customer downloads each PDF, the bank details, or everything as a ZIP archive. The page is shown in French or English depending on their browser language, is not indexed by search engines, and allows no payment or declaration.

When the invoices and bank details would make a reminder too heavy for the customer’s mailbox, the reminder carries this link below the message instead of the attachments, and does not refer to “attached” documents.

Creating and regenerating the link appear in the audit log. Billabex does not record visits: it cannot tell you whether your customer opened the page.

## If the result is not what you expected

- **“This link is no longer available”**: the link has been regenerated since. Share the current link shown on the record.
- **Empty list**: no document is being followed up. This does not mean every invoice is paid.
- **“Document not available”**: the invoice has no PDF in Billabex. Add it or check your invoicing tool’s sync.
- **A disabled contact can still see the documents**: disabling a contact does not take back their copy of the link. Regenerate the link.
- **Archive refused**: above 200 files or 150 MB, the customer downloads the documents one by one.
- **“Too many attempts”**: the customer waits a minute before trying again.
