Getting-started checklist

Complete seven essential checks before allowing the agent to work on the first customer accounts.

Updated

In short

Setup is complete when access, organization, agent, connection, and data have all been checked. Then verify contacts, the first-reminder delay, and the members who will handle tasks. Run the checklist on a few real accounts before allowing the agent to continue: this exposes a wrong source company or missing record much sooner.

Expected result

Every checkpoint is complete and at least one sample account can be followed without essential information missing.

Before you start

  • Assign one member to own the initial verification.
  • Prepare a small account sample that represents your common cases.

Procedure

  1. Confirm that each member uses their own invitation and reaches the correct organization.
  2. Check the agent identity and general settings, including delay before the first reminder.
  3. Confirm that the connection targets the right company and does not require reconnection.
  4. On sample accounts, compare contacts, invoices, credits, payments, currencies, and balances with the source.
  5. Identify paused accounts, open tasks, and communications that are already scheduled.
  6. Invite colleagues who will answer tasks and show them where the case context appears.
  7. Complete setup only after correcting discrepancies found in the sample.

What Billabex does

Billabex separates connection authorization, data synchronization, and agent work. This checklist checks all three layers in order so an active connector is not mistaken for a case that is ready for follow-up.

If the result is not what you expected

  • Stop setup if the source company, currency, or balances do not match.
  • Resolve connection errors before investigating missing accounts.
  • Keep the sample-account references so support can reproduce any discrepancy precisely.
