Prepare, preview, and send a tracked or registered letter from a customer account.

In short

From a customer account, Billabex can send a tracked letter or a registered letter with acknowledgement of receipt. The letter includes overdue amounts, debtor address, creditor identity, and payment account. You review the message, rendered PDF, and credit cost before anything is sent.

Expected result

The confirmed letter is sent to the selected recipient and appears in the account’s communication history.

Before you start

  • The account has at least one past-due invoice with a remaining balance.
  • An active contact is available and the recipient has a complete French postal address.
  • Prepare the creditor address and payment IBAN; BIC is optional.
  • Check that the credit balance covers the displayed cost.

Procedure

  1. Open the customer account, then its options menu.
  2. Choose Send a paper letter or Send a registered letter.
  3. Select the recipient and check their name, street, postal code, and city.
  4. On the first send, enter and save the creditor address, IBAN and, when needed, BIC. Billabex reuses these details later.
  5. Review the proposed message and edit it when needed.
  6. Check the PDF preview, included invoices, cost, and available credits.
  7. Send the letter.

What Billabex does

The document includes issued or overdue invoices whose due date has passed and whose remaining balance is positive. The proposed payment deadline is eight days. Cost depends on the channel and rendered document and is always shown before confirmation.

If the result is not what you expected

  • Without a past-due outstanding invoice, no letter can be prepared.
  • A postal code must contain five digits, and postal delivery is limited to French addresses.
  • If the preview stays empty, complete the message and creditor details first.
  • Insufficient credits block the send; contact Billabex to top them up.
  • A registered letter does not replace legal advice for your situation.
