Communications group replies in one thread to preserve context among agent, organization, and customer. Read from initial to latest message while checking senders, recipients, and references. Attachments are stored separately and linked to an email or interaction; open only expected files and do not republish a sensitive document outside its case.

You reconstruct the complete exchange and know which message and account own each attachment.

Before you start

  • Confirm customer account and subject before opening a file.
  • Use an authorized device for financial documents.

Procedure

  1. Open the message from the account, inbox, or sent communications.
  2. Go to the beginning and verify the sender of every reply.
  3. Compare invoice references with account documents.
  4. Open an attachment from its carrying message and verify its name.
  5. Reply in the existing thread when the subject remains the same.
